Job Title: Site Document Controller – San Jose Area of California
Reporting to: Document Services Manager on a day to day basis and ultimately to the Chief Financial Officer
This position is responsible for establishing, supporting, and promoting the services of the Document Control Department in order to educate, raise awareness and supervise the architects as to the correct CLIENT procedures relating to flow of project information and to facilitate this process. There is a requirement to be self-motivated, pro-active, advise and support other site office team members and be able to work independently and as a part of an effective team. The role requires adherence to OUR CLIENT procedures.
Responsibilities:
- Download business process forms and drawings from the various project management programs i.e. ProjectWise, CMIC and Newforma
- Copy files downloaded from the project’s management programs into the OUR CLIENT project management network drives
- Transfer this data back to OUR CLIENT networks
- Take an A3 print from the files and stamp each print with a date received stamp
- Log all information into project log files in a timely manner and to prompt architects when RFI’s etc need to be answered and returned using our Newforma system.
- File and upkeep the A3 file containing commented drawings
- Scan, rename and upload commented files to the relevant project management programs
- Raise awareness, educate and supervise the architects as to the correct OUR CLIENT document control procedures
- Gain thorough knowledge of and compliance with OUR CLIENT procedures and standards
- To contribute, or otherwise assist, as required

Job Title: Project Manager, Associate Partner

Responsibilities
- Focal point for design team in OUR CLIENT Northern California Office to provide practical advice in all code and building issues

Recruiter Notes:
- 85k w/ 20% bonus potential. This is the top end of the salary.
- Reports to VP of Construction (he is located in Irvine) and dotted line to the SVP of Acquisition up in SF

SCOPE OF ACTIVITIES:
- Work to efficiently manage tenant improvement & capital projects through all phases of project development including design, bidding, permitting and construction. Projects will be located throughout the Bay Area Portfolio.
- Direct accountability for budget and schedule on individual projects. Responsible for hiring and supervision of architects, consultants and contractors, monitoring progress, reviewing contracts and approval of payments. Negotiations and preparation of contracts, work authorization of change orders, close out packages, etc.
- Coordination with Leasing Team on prospective tenants. Develops conceptual budgets and schedules.
- Understand goals and fundamentals (i.e. lease structure, proforma, schedule constraints, etc.) involved in each project to best deliver successful projects.
- Primary contact with Cities and Governing Agencies in obtaining approvals as needed for projects. Identify potential roadblocks and develop strategies to mitigate impacts or delays.
- Assure accurate budget variance reports and schedules for projects. Drive value engineering efforts as needed and timely performance of the project teams.
- Coordinate and manage internal approval processes for design, budgets and other project related issues.
- Coordinate and communicate with Property Management team on project activities on a weekly basis. Ensure Project Close Out files are retained in respective property management office files.
- Communicate status of all projects at weekly meetings with Director of Design & Construction and Senior Project Manager – NW Region. Responsibility for maintaining accurate and complete “Action Plans” distributed to Principals on a monthly basis.
- Build relationships with internal and external teams including Regional Operations Managers, Property Managers, vendors, consultants and contractors to best deliver projects and services.
- Assure integration with accounting group and construction administrative assistant to ensure accurate and timely accounting reports as well as accounts payable.
- Interface with corporate Design & Construction Group on workload issues and firm-wide process refinement initiatives.
The successful candidate will possess strong communication skills and the ability to multi-task with multiple people, good organizational skills and attention to detail. Strong knowledge of Microsoft Word, Excel and Microsoft Project is required. Candidate should have knowledge of design and contracting communities. In addition, the successful candidate will have a four-year degree, experience with tenant improvement projects, and have a minimum of seven years in relevant work experience in construction, architectural or property management companies. Strong working knowledge of mechanical, electrical and plumbing systems is a plus. |

Overview of Role
The Commercial Real Estate Project Manager is responsible for providing project tracking/analysis and approvals; influencing teams to reach project goals and objectives; managing the design and construction of capital projects throughout the client’s organization; developing and implementing project management best practices, including templates, playbooks, and other methodologies for a best in class PM capability within the client Corporate Real Estate Department; and be facile and willing to support change within the Corporate Real Estate Department of this rapidly growing company.
Key Responsibilities
The successful candidate will be able to demonstrate core competencies in the following areas:
- Develop the Project Charter, internal project budget, and schedule for each project.
- Initiate and execute project best practices according to PMI Standards.
- Track progress of projects against goals, objectives, timelines and budgets.
- Manage the client’s annual Capex budgets related to real estate spend.
- Develop benchmarks, metrics, and reporting (Regionally, QoQ and YoY).

Requirements
The successful candidate will possess the following required degrees, certificates or competencies:
- Bachelor’s Degree in Architecture, Construction Management, Business or Real Estate preferred.
- 5+ years’ experience managing the design and construction of capital projects within a Corporate Real Estate environment.
- Proven ability to work with minimal direction in a team environment.
- Professional registration/certification (AIA, PE, PMP, LEED AP) LEED Accreditation and knowledge of green construction preferred.
- Advanced computer skills and working experience with MSProject, Excel, Word, PowerPoint, Email and other non-proprietary project management tracking software.
- Familiarity with project management software tools. Maintain awareness of new and emerging technologies and the potential application to HIS Project Management delivery.
- Ability to read and understand architectural/engineering construction documents.
