Operations Manager
Title: Property Operations Manager
Location: Orange County, CA
SUMMARY OF POSITION: The Property Operations Manager works with the Sr. Property Manager and Assistant Property Manager on the various retail properties to maintain each property in Class A condition. The Property Operations Manager is responsible for engagement and supervision of all third party and internal service vendors, maintenance technicians, contractors and suppliers. Services include housekeeping, landscaping, HVAC maintenance, lighting/electrical, roof maintenance, parking lot maintenance, and general real estate maintenance and repairs. The Property Operations Manager reports directly to the Sr. Property Manager. MAJOR RESPONSIBILITIES AND DUTIES:
- Property Operations Manager works closely with the Sr. Property Manager and Assistant Property Managers on their respective assigned portfolios.
- Conduct and document property inspections (both day and night) for each property within the portfolio. Documented inspections to occur a minimum of monthly for each property within the portfolio. Night lighting inspections to be performed monthly.
- Assure all necessary repairs and/or improvements noted during inspection occur.
- In collaboration with the Sr. Property Manager, the Property Operations Manager is responsible for the creation of the annual operating budget and expense forecasts and maintenance of operating expenses within budgetary parameters.
- Create specifications, bid, negotiate and prepare contracts for all services and projects including capital projects.
- Schedule preventative maintenance programs and maintain subsequent documentation.
- Provide day-to-day supervision of service vendors and contractors.
- Supervise service vendors and contractors to ensure the quality of the work is in accordance with the contract.
- Responsible for the quality of service provided by vendors and contractors to assure the appearance of the properties are maintained in a first class condition.
- Track contract expiration dates. Property Operations Manager to prepare and maintain vendor and contractor files to assure contracts are fully executed and remain current.
- Work with the Assistant Property Manager to assure the required vendor insurance is received.
- Control expenses, process invoices, and research vendor billing discrepancies.
- Develop processes and programs for identifying, qualifying, and utilizing competent new vendors in a cost effective manner.
- Administer compliance of local, state, and federal laws pertaining to property in areas such as fire, safety, ADA, hazardous material, access, etc.
- On call 24 hours per day, 7 days a week to assist in handling operational emergencies.
- Coordinate access to each property including vacant spaces for contractors, architects, etc.
- Coordinate suite turn-over to tenant and manage tenant build-out issues.
- Advise management of the technical and safety requirements for special events. Assist operations team with special events.
- Recommend programs for improving procedures and introducing best practices throughout the portfolio.
- Other property management assignments.
QUALIFICATIONS:
- 5-7 years in operational management of shopping centers.
- Prior construction experience.
- Ability to review construction drawings.
- Demonstrated ability for vendor/contractor supervision.
- Possess a high degree of organization and ability to prioritize multiple tasks simultaneously.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Word, Excel, Timberline and Avid Exchange.
- Work with little or no supervision.
- Team player who interacts well with all levels of staff and business associates.
- Spreadsheet capabilities.
