POSITION: PROPERTY MANAGER for Retail Properties (description is subject to change)
Job Duties: The position will have the following primary responsibilities: • Accountable for the overall management, direction and coordination of all center operations. • Review, audit and supervise work by property management staff for all centers. • Establish procedures for new and existing management personnel. • Special Projects to maintain corporate policy and controls of procedures throughout the portfolio of properties • Financial responsibility: including budget preparation, generation, implementation, monitoring, re-forecasting, and improving net income beyond approved budget for all California properties. • Determination of Capital Expense versus CAM expense and reconciliation of reserve accounts. • Collection of all billed rents in full and on time. - Reconciliation of past due Tenant accounts • Generate specific tenant charge-back's, including late fees. • Ensure effective cost control and profitability for center. Identify problem areas and pro actively improve performance. • Maintain communications with Tenants to improve performance. Promote effective business relationship to convey corporate operational policies and procedures. • Negotiations of lease renewals with shop Tenants. • Negotiations of Lease assignments • Have good working knowledge of lease requirements to ensure compliance with established lease obligations including operating requirements, hours of operation and use clause. • Preparation of lease abstract form • New Tenant move-in - Turnover of space and keys - Monitor payment of security deposit and first month’s rent • Tenant move-out coordination - Final walk-through with Tenant and turnover of keys to management - Re-key the suite to our master vacancy and prepare for show to new prospects - Refund security deposit to tenant if it applies • Train and supervise property management personnel. Establish procedures, set goals and evaluate performance. Ensure compliance with corporate personnel policies and applicable laws. • Annual performance evaluation procedures for management personnel. • Manage property safety and risk review. • Monitor crime statistics. • Contracts with outside vendors; prepare scope statement and obtain bids. • Draft contracts for contractors and vendors. • Monitor contractor’s performance and adherence to contract obligations and ensure timely completion of project. • Monitoring of contract services (landscaping, janitorial, parking lot sweeping, waste hauling, HVAC, roofing, security, parking management) • Review and approve all accounts payable. • Prepare and complete all monthly management reports. • Weekly property inspections to all shopping centers - Evaluate for property needs in landscaping, center lighting, janitorial, steam cleaning, lot sweeping, waste hauling, painting, roofing, security, parking lot repairs, building repairs and recommend and make improvements as required. - Oversee the condition of key asset systems and maintenance programs. - Monitor on-site tenant construction for compliance with approved plans. - Regular review of tenant compliance with sign criteria and center rules & regs • Oversee the management of the marketing program. Programs are consistently innovative, targeted and effective; budget well prepared and executed; graphic quality and consistency maintained. • Maintain positive relationship with the local communities. Have a good working knowledge of political and regulatory changes that may impact center operations. Take immediate action to inform others, as required. • Working knowledge of other corporate departments. Ability to provide interface and cohesiveness with the other departments that impact center management. • Effective oral and written communication and keeping personnel, merchants, and corporate management informed. • Other duties as assigned.
Supervises: Assistant Property Manager and Administrative Assistant
Minimum qualifications and experience: • 5+ years in the commercial real estate industry • Experience with retail and mixed use real estate development, management, investment firms
Education requirements: • College degree • IREM property management designations preferred (CPM, etc.)
Specific skills: • Excellent oral, written and organizational skills • Must understand the basics of Property Management with little supervision • Highly motivated and a self- starter, with the desire to make a meaningful contribution to the Company • Leadership, entrepreneurship, and goal oriented.
Salary: $80K plus bonus and commissions (based on qualifications),car allowance
